About the role
In this hands-on role, you will own the reservation receivables lifecycle, from the moment a booking is made through payment, stay completion, and final reconciliation. You will work closely with finance, reservations, corporate clients, and accommodation partners to collect payment, resolve discrepancies, and maintain complete, audit-ready records.
Reporting to the Fractional CFO, you will help ensure every reservation is accurately invoiced, paid, reconciled, and recorded in our accounting system.
Key Responsibilities
- Monitor unpaid reservations for upcoming, in-progress, and completed stays, prioritizing payment deadlines, overdue balances, and aging accounts.
- Issue and track invoices and payment requests, and follow up professionally with corporate clients, travel partners, and guests on outstanding balances.
- Process and allocate authorized card, virtual credit card (VCC), and ACH payments to the correct reservations and invoices.
- Manage the cancellation of unpaid bookings in line with agreed payment terms, cancellation policies, and approval procedures, coordinating with reservations and accommodation partners, communicating clearly, and maintaining an audit trail.
- Own credit-card dispute and chargeback case management: investigate claims; gather booking records, accepted terms, payment records, and stay evidence; submit responses within processor deadlines; track outcomes; and reconcile resulting adjustments.
- Reconcile reservations, modifications, cancellations, refunds, payments, and balances between Livily’s records, third-party booking systems, and accounting software, investigating missing, duplicated, or mismatched transactions.
- Own the import of booking data into accounting software: prepare and validate source files; map booking IDs, customers, invoice amounts, taxes and fees, and payment statuses to approved accounting fields; prevent duplicates; reconcile import totals; and resolve exceptions, coordinating mapping and accounting treatment with finance.
- Reconcile payment settlements, processing fees, refunds, and booking-related payout records, escalating discrepancies promptly.
- Maintain accurate AR aging, collections, dispute, and reconciliation reports, and support month-end close with reconciled balances and documentation.
- Document and improve collection, dispute, and booking-import workflows to reduce errors and outstanding balances.
Required Qualifications
- 2+ years of experience in accounts receivable, collections, billing, or bookkeeping, with hands-on reconciliation experience.
- Ability to manage overdue accounts and sensitive payment conversations professionally.
- Strong transaction-level reconciliation skills and experience preparing, validating, and importing financial data.
- Working knowledge of accounting software, invoicing, and cash application, with the confidence to learn third-party booking and payment systems.
- Strong Excel or Google Sheets skills for matching records, identifying discrepancies, and validating imports.
- Excellent attention to detail, organization, and written communication, with the ability to manage deadlines and high transaction volumes remotely.
Preferred Qualifications
- Experience with QuickBooks or QuickBooks Online, or with ERP platforms such as Sage or Oracle NetSuite. These products are assets, not requirements.
- Experience in travel, hospitality, vacation rentals, corporate accommodation, or online booking marketplaces.
- Experience handling credit-card disputes, chargebacks, and virtual credit cards.
- Experience reconciling third-party booking or property-management systems and importing reservation data into accounting software.
