Extra Fees and PMS Sync

Overview

Extra fees are an important part of your property’s pricing — and one of the most common reasons for total booking discrepancies between your PMS (Property Management System) and Livily.

While Livily receives up to 90% of extra fee data from your PMS connection, not all fees are automatically accepted or mapped correctly. This makes it essential to verify your fee setup directly within your PMS.


Why This Matters

Incorrect or missing extra fees can cause:

  • Total price mismatches between Livily and other OTAs (e.g., Airbnb, Booking.com)

  • Underpaid or overpaid bookings

  • Confusion for guests seeing unexpected totals

  • Delays in payouts or disputes after check-in

To ensure price accuracy and consistent payouts, it’s your responsibility to confirm that all fees are properly configured in your PMS and transmitted to Livily.


Common Extra Fees

Here are the most common fees that may affect total pricing:

  • 🧹 Cleaning Fee – Charged per stay; often the most frequent source of discrepancies

  • 🏖️ Resort or Amenity Fee – Optional, property-specific; sometimes excluded by PMS integrations

  • 🧺 Service Fee / Admin Fee – Charged per booking or per night; verify that this fee is pushed to Livily

  • 🐕 Pet Fee – May not transfer if labeled differently in PMS

  • 💳 Credit Card / Processing Fee – Should not be double-applied; Livily automatically accounts for platform merchant fees

  • 🪣 Extra Guest Fee – Charged after a certain occupancy threshold; verify that your PMS pushes this logic


What Livily Receives

Livily pulls your rates and fee data directly from your connected PMS. However:

  • We receive approximately 90% of all extra fees defined in your PMS.

  • Some fees may not map correctly due to naming conventions or unsupported fields.

  • Livily reserves the right to reject or exclude non-standard fees that conflict with marketplace policies or TMS rate parity requirements.


How to Verify Your Fees Synced

  1. Go to My Listing  -> Edit -> Pricing. All extra fees that imported will be listed below including taxes.

  2. How to add Extra Fees: You can add any type of fixed fee per night or per stay by clicking + Add More.

💡 Tip: You can also add most extra fees from your PMS, be sure to verify how to sync extra fees with channels. In Guesty, Hostaway you can sync channel specific or at the account level (fees placed on all listings).

What to Do If You Notice a Pricing Discrepancy

If the total price on Livily differs significantly (over 30%) from your PMS:

  1. Take a screenshot of your PMS nightly rate and extra fees.

  2. Compare it to the total shown on Livily.

  3. Open a ticket and send both screenshots to our support team.

  4. Our support team will review whether the missing fee can be accepted or needs to be adjusted manually.
